How to Choose a Scenting Provider: Twelve Questions Worth Asking

Scenting providers can look similar on paper: a machine, a list of scents and a monthly fee. The differences show up later, in how the space actually smells after three months, how quickly problems are fixed and how easy it is to change things. These twelve questions help you compare providers on what matters.

The right provider starts by looking at your space, not by quoting a machine.

1. Where does the fragrance come from?

Ask who makes the oil and whether it's made for the type of diffuser being installed. Good oil smells the same from refill to refill and is kind to the machine. Vague answers are a warning sign.

2. Will you survey my space before recommending anything?

A good recommendation depends on ceiling height, air-conditioning, doors, busy hours and layout. A quote based only on floor area, without a visit, is likely to be wrong.

3. What equipment can you offer?

Different spaces need different machines: small units for single rooms, larger units for open areas, portable units for events, and HVAC scenting for large spaces. A provider with only one type of machine will fit your space to the machine, not the other way round.

4. How will you set the intensity?

Ask how the level is set and checked. The right answer involves judging it as an arriving guest would, starting on the light side and adjusting for each zone. Ask which areas they would leave unscented.

5. What does servicing include?

How often does a technician visit? Are refills included, or limited? Who cleans the machine? What happens if a unit breaks, and how quickly is it fixed or replaced? Servicing decides whether the scent stays consistent.

6. Is the scent exclusive?

Library scents are usually available to other clients too. If you want a scent that belongs only to your brand, ask about a custom signature scent and what happens to it if you leave.

7. What does the agreement commit me to?

Check the minimum term, the notice period, what happens to the equipment at the end and what isn't covered. Clear terms before you start avoid surprises later.

8. Can I try it first?

A scent behaves differently in your space than in a sample bottle. A trial in your own premises is the most reliable way to decide.

9. How does the scent reach the space, and will it work with our air-conditioning?

For large spaces, HVAC scenting with cold-air diffusion turns fragrance oil into a dry mist that travels through the air-conditioning ducts. Ask how the system connects to your ducts, whether it leaves any residue and what your air-conditioning needs to do: the fan has to keep running during scenting hours so the air can carry the scent. Rooms without central air-conditioning need standalone units, so ask what the provider offers for those too.

10. What happens from the first conversation to ongoing service?

A clear process is a good sign of a reliable provider. Expect a conversation about your goals, a site survey, a plan for machines, placement and schedule, a scent choice, then installation and a check of the level in each zone. After that, ask who your contact person will be and how often a technician visits.

11. Can you keep several locations consistent?

If you run more than one branch, ask how the provider keeps the same scent and the same standard of service everywhere, and how the level at each location is set for its own size and airflow.

12. What do you say about bad smells?

Be careful with a provider who promises that scent will remove odours. Scent adds a smell; it doesn't take one away. Odours should be handled with cleaning and ventilation first, and a good provider will tell you when an area should stay unscented. Read more in Scent is not an odour remover.

Red flags

  • No site visit before a quote.
  • No clear answer about who makes the fragrance.
  • Servicing that costs extra or is capped.
  • A contract with unclear terms, notice periods or exit conditions.
  • A scent sold as a copy of a famous hotel or brand.
  • Promises of a specific increase in sales.
  • A promise that scent will remove bad smells.

How DuraScent answers these questions

Our Scent Library of 40+ fragrances comes from European fragrance houses. We start with a free site survey and choose from 20+ machine types, including HVAC scenting for large spaces. We set the intensity for each zone during the survey and trial, review it at each monthly Preventive Maintenance Visit, and keep sensitive areas light or unscented. Refills, routine checks and a monthly Preventive Maintenance Visit are part of the service, emergency service is free, and a replacement unit is the same or a higher specification. Signature Scent, a custom fragrance for your brand, is available as a separate optional service. We don't offer odour neutralising, and we'll tell you if an area needs cleaning or ventilation before it's scented. The service runs monthly, the terms are explained before you start, and you can try it free for 3 days.

Scent supports atmosphere and impressions. It isn't a guarantee of higher sales.
