Event Scenting: How to Use Scent at Launches, Exhibitions and Weddings

At an event, guests remember the room as much as the programme. Lighting, music, flowers and food all get careful planning. Scent is often left to whatever the venue happens to use, even though it can tie the whole experience together, or quietly work against it.

Scent leads at the entrance, where guests form their first impression of the event.

Why the venue's default scent isn't enough

Hotels, ballrooms and exhibition halls often have their own scent. It suits the venue's brand, not yours. For a product launch, a brand activation or a wedding with a clear theme, a scent chosen for the occasion makes the event feel more complete and more personal. If your brand already has a scent, using it at events makes the experience feel like an extension of your premises.

How to scent an event well

Zone it.

Let the scent lead at the entrance, registration and foyer, where guests arrive and form first impressions. Keep it light in the main hall, and keep dining tables and buffet areas unscented so the scent never competes with food.

Time it.

Start the diffusers before guests arrive, so the space is ready when the doors open. For long events, the level can be lowered once the room fills up.

Use the right equipment.

Portable, battery-powered units suit entrances, photo areas and stage-side spaces where power points are limited. Larger halls may need several units or the venue's air-conditioning.

Choose a scent that fits the occasion.

Fresh and citrus scents suit daytime launches and conferences. Soft florals often suit weddings. Warm, woody scents can suit evening receptions and premium brand events. Simple scents are usually more pleasant than complicated blends.

Check the venue's rules.

Some venues limit equipment, power use or fragrance. Confirm with the venue early, along with set-up and dismantling times.

Keep it light.

Guests are often in the room for hours. Noticeable on arrival, comfortable later.

Events where scent works well

  • Product and brand launches
  • Exhibitions, trade shows and booths
  • Corporate dinners and award nights
  • Show units and property launches
  • Weddings and engagement receptions
  • Store openings

Plan early

Tell your scenting team the date, venue, layout and theme as early as you can. That leaves time to choose the scent, try it if needed, and check the venue's requirements.

How DuraScent helps

We scent events such as weddings, launches and openings. We help you choose a scent from our Scent Library of 40+ fragrances from European fragrance houses, or use your brand's own scent, then bring the units, set them up for each zone and take them down afterwards. Ask us about your event date on WhatsApp.

Scent supports atmosphere and impressions. It doesn't replace good ventilation, and results vary from venue to venue.
